Processing Specialist II

Position Overview: 

This position will handle information regarding motor vehicle title and registration processes.  The Processing Specialist II is administratively adept and organized with handling files and maintaining documents.  This position is responsible for the proper titling of all new and used cars. Knowledge of state tax and title requirements for various states is essential. A strong attention to detail is required.  This position will also be responsible for all aspects of select clients, to include processing, invoicing, customer service, and other duties assigned.  Overtime may be required.   

Essential Responsibilities: 

  • Maintaining knowledge of DMV laws and regulations as related to vehicle titles. 
  • Ensure the company’s title and registration work complies with all applicable state regulations. 
  • Prepare and verify necessary paperwork for submission to county tax office. 
  • Resolve any customer complaints in a friendly, courteous manner. 
  • Practice and promote teamwork at all times. 
  • Daily processing of title and registration transactions. 
  • Other duties as assigned by Office Manager 

Life New Business Operations Associate:

Compensation: $21.00 – $25.71 plus eligibility for annual bonus program

About the role

As a Life New Business Operations Associate, you will administer the receipt of applications and supplemental documentation into the department workflow system, as well as accurately identify documents received for new and pending new business cases. Documentation includes correspondence, medical records, financial information, and administrative requirements.

Primary Responsibilities 

  • Proactively communicate during workday via email, text, and video chat to ensure timely processing of Service Level Agreements (SLAs).
  • Develop a working knowledge and efficiency in data entry of life insurance application information into workflow, customer/agent relationship and administrative systems.
  • Accurately identify status of licensing/appointment of producers and routes appropriately for processing.
  • Identify missing requirements based on underwriting guidelines, state requirements, and Symetra best practices.
  • Research prior case submission history and transfers key data to new case file.
  • Develop a solid understanding of department policies and procedures and administrative duties.
  • Monitor email, fax, and electronic submission sources.
  • Develop ability to accurately identify 100+ types of administrative, financial, and medical documents.
  • Compare and route new documents to the correct file preventing duplication.
  • Review unmatched mail to identify if it can be moved to a current submission.
  • Enter key data elements into administrative system(s) that drives the routing of documentation through the workflow process.
  • Present a working knowledge of industry forms and documents supporting regulatory requirements.

Paralegal – Medical Records (Remote):

The Paralegal will support the Global Legal Center of Excellence in Data Privacy and multiple attorneys, clinical and business colleagues, and patients in reviewing requests for medical and billing records in addition to related activities that do not need a law degree, such as regulatory research and collaboration with multidisciplinary corporate functions on process improvement.  Qualified candidates with relevant experience in related fields may be considered as well.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Under limited supervision, perform a broad range of tasks which include:

  • Review and advise clinical staff on responding to certain requests for medical and billing records from patients, their legally authorized personal representatives, attorneys and other third parties. 
  • Assess whether particular requests comply with federal and state requirements, including HIPAA and applicable state medical privacy or probate laws. 
  • Work with colleagues in a variety of corporate and clinical functions (including Privacy, Clinical Services and Compliance) to develop more efficient operational processes.  This may include updating templates and FAQs as well as participating in collaborative project teams. 
  • Provide training and support to colleagues on processes for responding to medical and billing record requests and related topics. 
  • Provide legal research support services to attorneys with particular emphasis on U.S. privacy, security and health care laws and regulations.
  • Assist in various projects assigned by direct supervisor, likely related to privacy/security or health care regulatory.
  • Information management, including document organization and maintaining records in an orderly fashion.
  • Normally works independently and efficiently on routine daily work.

People Experience Coordinator:

Compensation: $28.85 – $36.06

Document Production Specialist Job Summary:
The Document Production Specialist is responsible for efficient, accurate and timely production of health insurance member-facing contract documents including drafting, formatting, proofreading, and identifying corrections needed during development and post-production.

What you’ll do as a Document Production Specialist:

  • Complete the release of final documents to the print vendor for hard copies and to the web team to enable member online access.
  • Consult with internal departments and vendors to develop and produce documents that are responsive to customer needs, as well as compliant with business, state and federal regulatory, and compliance requirements.
  • Contribute to process improvements and work through product issues to resolution.
  • Provide thorough and effective communication on production statuses and issues to the relevant parties. 

Support Desk – Contractor (Remote):

Compensation: $20 per hour

We have a range of time blocks we’re looking to cover, including days, nights, and weekends. Hours per week will vary over the year based on the ExecOnline program schedule. We are open to flexible schedules ranging from 10-20 hours of availability per week, while there might be an opportunity to take on additional hours based on volume. Candidates must be located and authorized to work in the US.

  • Advanced Microsoft Excel knowledge including advanced conditional formatting, utilize data in Pivot tables, dynamic charts with formulas, multiple layers of charts.

Order Entry Specialist:

Compensation: $35,00-$65,000.

The Order Entry Specialist plays a key role on the accounting and quote-to-cash team, with a focus on supporting the order entry workflow and customer-facing transactions and communications.  

Duties & Responsibilities: 

  • Process all new and renewal customer orders timely and accurately from Salesforce into NetSuite 
  • Partner cross-functionally with sales and legal to ensure order accuracy  
  • Responsible for timely and accurate fulfillment of customer orders 
  • Accurately enter and receive all returns in NetSuite  
  • Assist with sales tax compliance and maintenance of current exemption certificates 
  • Maintain all necessary paperwork, records, lists and related information to ensure the correct processing of all customer orders 
  • Maintain and update customer records and contacts 
  • Resolve customer inquiries and issues in timely and professional manner 
  • Assist with customer collections and annual support renewals as needed 
  • Other duties and projects as assigned 

Administrative UM Support Specialist:

Compensation: $18-21 per hour, plus tuition reimbursement

Responsibilities include but are not limited to:

  • Receives and enters new UM’s and Referrals that cannot be loaded electronically.
  • Performs updates to the current UM’s and Referrals in the systems of record as requested through various routes and emails.
  • Investigates load failure reports to determine root cause, working with development teams to find solutions.
  • Maintains an email box dedicated to UM and Referral Submissions as well as inquiries.
  • Serves as the primary contact for UM and Referral assistance to the Claims Department
  • Collaborates effectively with development teams to increase electronic load capabilities.
  • Attends weekly meetings with Leadership and IT/Development staff to assist in improving quality.
  • Recognizes and alerts appropriate managers of trends or other anomalies and participates in the solutions.

Administrator – Customer Care:

Compensation: $37,400 – $52,400

As an Administrator – Customer Care you will be responsible for completing administrative daily tasks for assigned locations in accordance with established levels of service, productivity, and quality, while servicing our customer at the most economical cost.

Responsibilities:

  • Performs daily required administrative functions in accordance to written process maps.
  • Interacts with and supports Sales and Sales Management including updating and generating reports, reconciling daily transactions, and assisting in providing customer service.
  • Responds and acts on submittals within Sales Portal in specified time periods of request.
  • Performs timely and accurate completion of branch audit and compliance steps per established guidelines.
  • Maintains high level of organization of tasks between assigned branches. 
  • Documents and submits individual task KPI data used for process improvement.
  • Assists Customer Care Manager in development and training of employees.
  • Researches tax and freight claims and runs credit memo when appropriate.

  • Performs basic accounting duties such as light accounts receivables and payables and invoice approval preparation.
  • Completes various branch reports such as tax reports and wesnet security reports.

Scheduling Administrator:

Compensation: $17-$18.38 per hour.

We are seeking a talented Scheduling Administrator who will be responsible for scheduling all in-store event specialists’ activity to support a specific geographic location. This position works in partnership with management to deliver high-quality associates for work in their area. The incumbent must utilize proprietary management systems, as well as demonstrate strong analytic and communication skills to accomplish these tasks.

Responsibilities:

  • Ensure that data and information are up to date and accurate. Work with various internal software programs to schedule work.
  • Review all incoming associates to ensure they have completed training and their training completion is designated in the system.
  • Review various reporting tools to identify long-term staffing gaps and works with management to request additional associate support.
  • Identify short-term staffing gaps and leverages existing talent and other resources to ensure event execution meets standards.
  • Identify long-term trends in events and workload and ensures that business is set up to execute to staffing targets.
  • Partner with management, HR and other Company departments regarding any related issues.

Administrative Assistant:

Compensation: $79,475-$110,000, Monthly wellness stipend, home office stipend
