
Typical Assignments:
- Verifies, enters, corrects group, member, and agent information into relevant applications, including adds, terminations, updates, member merges, new clients, new plans, agency mergers, agent of record changes, contract changes, renewals, and history
- Composes, prepares, and modifies group and agent documents
- Enters manual eligibility records into the system to process, update, and correct file information
- Retrieves and reconciles information in files when rejected by the system
- Researches and determines whether inaccurate data should be updated, routed or adjudicated for claims processing
- Corrects and updates information entered through the optical scanning or data entry process
- Accesses various software programs, and gathers and summarizes information from/for various reports
- Operates office equipment which may include a personal computer, copier, fax machine, scanner, etc.
- Maintains related departmental records, files, filing system and/or records retention systems (hardcopy, electronic, and imaged)
- May provide back up to department secretary
- Opens and distributes mail and handles incoming/outgoing correspondence
Designated Executive Assistant:
Compensation: $18.50 per hour
Responsible for centralized business operations in a high-performance virtual environment; provides assistance to Virtual Executives across North America. All duties and responsibilities are performed in accordance with the Mission, Vision, and Core Values of Cayuse.
Job Responsibilities
- The expectation of a successful virtual executive assistant is the ability to build and maintain professional relationships with executive customers as well as within a team
- Responsible for assisting client executives and associated staff members with the following services:
- Calendar Management
- Email Review
- Time and Expense
- Travel coordination, domestic and international (basic and complex)
- Conference call and meeting coordination (basic and complex); includes schedule coordination of call or meeting participants
- Video conferencing
- Meeting and event planning
- Document production
- Access, list, and site maintenance (team services, SharePoint, and other tools)
- Research and Special projects
- Within the services indicated above, perform the following duties:
- Provides Point-of-contact administrative support to an assigned group of clients, while at the same time sharing and leveraging work to members of the team
- Receives customer inquiries, responds to receipt of requests, and fulfills requests in a professional, efficient, and timely manner
- Captures and documents details of all customer interactions daily in a work management tool
- Operates within guidelines and procedures to independently deliver a full range of services
- Correspondence and database tracking
- Consistently provides a high level of quality service
- Uses judgment to anticipate customer service needs

Executive Assistant to the Executive Leadership Team:
Compensation: $75,000-$90,000/year with possible reimbursements.
Duties:
- Primarily support the schedule for the Deputy Director and potentially other members of the ELT. *Most members of ELT already have this type of scheduling support
- Coordination of meetings involving multiple internal and external schedules on varying time zones
- When applicable, EAELT delegates, transcribes, and/or responds to emails on behalf of the ELT, exercising discretion and judgment in matters of significance within the agreed-upon parameters
- Maintain the ELT’s master slide deck for presentations
- Develop slide decks for specific ELT presentations
- Devise, consider, compare, evaluate, and implement policies, procedures, and strategies to ensure all responsibilities of the ELT are met
- Occasionally represent ELT members in meetings
- Diplomatically handle sensitive and confidential matters
- Evaluate, organize, and determine daily briefing content for ELT members
- Prepare meeting materials and coordinating meeting logistics
- Submit expense reports
- Strategize and enable the use of a variety of platforms to stay connected with departments and projects across the span of the organization (Outlook, Asana, Slack, and Notion)
- Complete information requests and other materials related to ELT’s speaking engagements, occasionally book travel arrangements, and occasionally travels to events
- Sustain and strengthen relationships with a diverse group of constituencies, including staff, organizational supporters, current and potential donors, board members, foundations, and community partners

Accounts Receivable Specialist, Data Entry, Invoicing:
Duties:
Crafting and maintaining the Contract Scan Log and Executive Account Scan Log derived from the Closed Contract Spreadsheet generated by the Sales Team;
- Contract entry;
- Set up of Single and Multisite Client Sites in GEDI Service System;
- Acts as contract entry back-up for all Accounting EA Reps during beginning of month invoicing and for PTO periods
- Works with Sales and Sales Support to clarify complication clauses within new agreements to ensure accurate invoicing;
- Works with Channel Partner Team to work through any Vendor Restrictions on products sold;
- Tracking of site Set up Fees and import file generation;
- Creation and invoicing of three months “Customer Submitted not Invoiced” reports;
- Maintenance of Monthly Task List and Standard Site items at month’s end;
- Maintenance of Standard Multisite permissions;
- Maintenance of All Sites Closed spreadsheets;
- Product Termination Cases;
- Completion of all Product Add On Cases;
- Perform zip code lookup and correction for all new sites on Scan;
