ADMINISTRATIVE ASSISTANT- CYBERSECURITY (REMOTE):

Compensation: $60,000 – $120,000 salary

This position will provide specialized administrative support to Vice President and department. They will perform a broad range of administrative duties to support the daily business operation including planning and scheduling meetings, managing customer inquiries, reviewing documents and planning events.

Key Responsibilities:

  • Administrative Duties: Manages Officer calendar, processes expenses, handles correspondence, including typing and drafting emails, memos, and presentations. Compiles information for weekly, monthly, quarterly, and yearly reports. Manages the department budget.
  • Project Coordination: Attends conference calls and meetings to note action items and creates and manages follow-up with appropriate parties. Organizes, prioritizes and coordinates multiple internal and external work activities with the ability to meet deadlines.
  • Event Planning: Coordinates and executes internal and external events; including securing locations, handling logistics, meeting set up and catering as needed.
  • Travel Planning: Arranges travel and all accommodations for both domestic and international travel including but not limited to: Passport/visa requirement if necessary, booking flights, hotel, local transportation and provide comprehensive and detailed itineraries. May on occasion arrange travel for leader’s direct reports or internal/external business partners.

Remote – Equipment Project Administrator:

Compensation: $52,050 – $69,450

Under direct supervision, this position is responsible for routine project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. This position is required to closely interact with Project Managers, Account Managers and other assigned project staff to ensure the timely completion of each project.  

Responsibilities include the following and other duties may be assigned: 

  • Responsible for general administrative functions to support the equipment fulfillment process.
  • Assists with ordering all bill of material associated with projects.
  • Obtains all bill of materials, estimated ship dates and updates appropriate schedules.
  • Assists with updating customers on estimated ship dates.
  • Process documents for service claims sales allowances, retrofit, and labor warranty.
  • Assist with processing all job closeout documentation.

Appeals Associate – Remote:

Compensation: $22-$25/hr

Responsibilities of the Appeals Associate:

·       Review and investigate member and provider appeals and grievances according to appropriate guidelines

·       Communicate and report findings of review and documentation to appropriate communities, administrators and appropriate leadership

·       Provide written documentation on cases in a timely manner

Order Entry Rep:

Compensation: $ 12.91 – $23.33 

Responsibilities and Essential Functions:

  • Enter orders from 1st in queue system – minimum daily order requirement must be met.
  • Responsible for processing and entering all sales orders accordingly. This includes entering GSA/State contract sales orders into government checklist when necessary.
  • Assist Customer Support Representatives with proofing of acknowledgments.
  • Running necessary Order Entry reports as required
  • Matching acknowledgments to sales orders
  • Alert both IT and Manager with all system errors, pricing errors, engineering errors, etc. to avoid product holds on incoming orders
  • Assist in parts entry, literature fulfillment and other administrative duties to improve performance to the customer
  • Clarify open issues such as pricing and missing order information

WP Center Coordinator Weekends Remote:

Maintain a secure working environment with minimal distractions and interruptions.

  • Handle all firm content with extreme discretion and privacy.
  • Exercise robust efforts to remain accessible and engaging to all levels of personnel.
  • Convert Adobe PDFs to MS Word documents (and vice versa), using firm-issued conversion software.
  • Clean and format converted MS Word documents, applying styles, cross-referencing and generating tables of contents and authorities.
  • Revise MS Word documents from handwritten copies or via track changes.
  • Create labels and letters, using MS Word’s mail-merge feature.
  • Select appropriate state pleading templates for discovery responses.
  • Create and format PowerPoint presentations using specific design templates and layouts consistent with firm branding.
  • Create and revise diagrams, tables and organizational charts.

Scheduling Administrator:

Compensation: $17.00-18.38

Responsibilities:

  • Ensure that data and information are up to date and accurate. Work with various internal software programs to schedule work.
  • Review all incoming associates to ensure they have completed training and their training completion is designated in the system.
  • Review various reporting tools to identify long-term staffing gaps and works with management to request additional associate support.
  • Identify short-term staffing gaps and leverages existing talent and other resources to ensure event execution meets standards.
  • Identify long-term trends in events and workload and ensures that business is set up to execute to staffing targets.
  • Partner with management, HR and other Company departments regarding any related issues.

Escrow Payment Product Coordinator:

Job Duties and Responsibilities:

Operational Excellence/Accuracy (80%):

  • Ownership of new lender payee codes entry into Unitrac
  • Implementation of payee codes when lender switches integrations
  • Oversee Approval process of payee codes with Escrow Accounting to ensure accuracy
  • Lead and support efforts to continually improve business metrics to maximize resources and achieve operational excellence
  • Work with Implementation team for lender onboarding as it relates to carrier code importing
  • Own weekly/monthly maintenance of lender payee code files sent via FTP
  • Oversee maintenance of remittance addresses with IDS for Company and Agency
  • Troubleshoot Unitrac when users cannot locate payee code for entry
  • Provide reporting and analysis needed to produce strategic direction, planning, and execution to meet/exceed SLAs

Workflow Management/Process Improvement (10%):

  • Provide insights to improve the processes as it relates to the escrow intake process

Subject Matter Expertise (10%):

  • Understanding the process of W-9 request and certifications of remittance addresses
  • Understanding of Parent/Subparent companies within Unitrac BIC table
  • Understand company and agency payee codes functionality
  • Knowledge of Lender Integrations for QA Tool Troubleshoot for payee errors

Order Entry Specialist:

Compensation: $35,00-$65,000.

The Order Entry Specialist plays a key role on the accounting and quote-to-cash team, with a focus on supporting the order entry workflow and customer-facing transactions and communications.  

Duties & Responsibilities: 

  • Process all new and renewal customer orders timely and accurately from Salesforce into NetSuite 
  • Partner cross-functionally with sales and legal to ensure order accuracy  
  • Responsible for timely and accurate fulfillment of customer orders 
  • Accurately enter and receive all returns in NetSuite  
  • Assist with sales tax compliance and maintenance of current exemption certificates 
  • Maintain all necessary paperwork, records, lists and related information to ensure the correct processing of all customer orders 
  • Maintain and update customer records and contacts 
  • Resolve customer inquiries and issues in timely and professional manner 
  • Assist with customer collections and annual support renewals as needed 
  • Other duties and projects as assigned 

Health Information Management Associate – Full Time:

Compensation: $20.00/hr

The Health Information Associate (HIA) is responsible for the accurate filing, scanning and indexing of health record documents into the Community Health Center’s electronic health record systems. Additionally, the HIA is responsible for reviewing patient records, managing the release database, documenting accounting of disclosures, as well as processing and tracking of requests for protected health information all in accordance with Connecticut State law and the Community Health Center’s HIPAA policies and procedures.

ROLE AND RESPONSIBILITIES

  • Maintains high volume sorting, filing and archiving of medical, dental and behavioral health documents in the electronic health record.
  • Maintains high degree of quality control and validation of the completed work. Utilizes technology to organize faxed and scanned documents into patient’s electronic health record. These may include, but are not limited to: outside lab reports, physical/occupational therapy, requests or progress reports, home health reports or orders, referrals, results of consults, communications with payers, faxed requests-FMLA-legal-disability, Workers’ Compensation.
  • Handles confidential and extremely time sensitive materials. Ensure adherence to the Community Health Center’s guidelines, safety and security procedures.
  • Prepares work to be processed by gathering and organizing data, information and documents. Runs faxing and scanning equipment.
  • Provides excellent internal/external customer service via telephone, fax or face-to-face contact to assist patients with their health care needs.
  • Processes requests for protected health information by ensuring the Authorization to release protected health information form is completed and signed by an authorized individual or guardian as listed in the health record, if patient is a minor.

Overnight Dispatcher:

***This job does have phone duties, but some of our followers have asked for overnight jobs.

Responsibilities:

Ensure that “World Class Service” is provided to customers and provide “hands on” assistance and information to customers of Transdev Transportation that utilize company services.

Organize and route trips based on schedule and location to ensure optimal performance including managing run pullouts, reassigning trips, and adding new trips to runs throughout the course of the day

  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed
  • Responds to and resolves administrative inquiries and questions
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors
